Présence is a full-service event planner. We start entirely from scratch each time. Our dedicated team creates a unique, bespoke concept in line with your expectations and budget. Introductions
We start by listening to what you have to say: what is the aim of the event, what are you celebrating, and what are your preferences? During our first meeting, we share some advice and tips for the venue and concept but also discuss matters like planning, styling and other important details. That way we can determine the best direction for the event planning process together.
Concept mood board
After our introductory meeting, we gather all the relevant information and present our creative concept. We also document all the practical details, so you have a clear summary of what we have discussed. At this stage, we also provide you with an overview of the cost of our event planning services. As soon as you sign off on this, we start to work on the event plan together with you.
Detailed breakdown of your event
After you have indicated that you want to work with us, we address all the elements of your event. We design floor plans, invite suppliers for a site visit, and request quotes from them. All this is elaborated in great detail in a comprehensive document that we present to you in person. Don’t expect a mere Excel from us. We will give you a carefully compiled event file with various options and possibilities that we present to you.
We update our event plan based on your feedback and input. As soon as you have made a choice, we work closely with you to ensure a successful end result. Your event goes into production when you are happy with the concept, the aesthetic, the organisation and the budget.
Set-up
If your event is going to be held in your garden or on your company premises, we will provide you with a set-up and tear-down schedule in good time, so you know exactly what to expect when. During set-up, a member of our team will always be on hand to monitor and coordinate. Our team takes care of setting up the furniture, decor and decoration of the venue. We make sure that everything is ready in good time, so that you can admire the result with no hurry.
Production, execution of the event
There are always at least two event coordinators present during the event to make sure everything goes smoothly. We have worked out our checklists and scenarios in advance, and all suppliers are informed of their responsibilities. Staff with executive duties are briefed on site, with attention to detail. When the event starts, we are there to provide support, make changes where necessary, and monitor event quality. Our in-house directors manage productions with shows or elaborate presentations. For these types of productions, we usually schedule a dress rehearsal one to two days before the event.
For multi-day events, our team makes sure that the venue and setting are tidied, and everything is in place again after every day’s activities. Where necessary, we can also make adjustments. We have extensive experience in organising multi-day events and – if necessary – we can even work through the night.
Tear-down
Tear-down of the event is done as efficiently and quickly as possible so your garden, company premises, or event venue is cleared up and left clean and tidy as soon as possible. Here too, our aim is to take the entire process off your hands.

Isabel D’Hulster is the founder and driving force behind Présence. She founded her event agency in 2006. Since then, the team has grown considerably. Présence now has a team of 7 event planners, each with their own expertise and unique added value.
