Présence is a full-service event planning agency. We start every project from scratch. Our dedicated team creates a unique, bespoke concept tailored to your expectations and budget. While you enjoy a beautifully organised event, we ensure everything runs seamlessly. Here's how we do it.


Introductions
We start by listening carefully: what is the aim of your event, what are you celebrating, and what are your preferences? During our first meeting, we share tips and advice on the venue and concept, while also discussing planning, styling, and other key details. This allows us to jointly determine the best direction for the event planning process.
Concept mood board
Following our initial conversation, we gather all the relevant information and present our creative concept. We also document all the practical details, giving you a clear summary of what we have discussed. At this stage, we also provide a cost estimate for our services. Once approved, we begin developing the event plan together with you.
Detailed breakdown of your event
Once you've decided to move forward with us, we dive into every aspect of your event. We design floor plans, invite suppliers for a site visit, and request their quotations. All of this is detailed in a comprehensive event file that we present to you in person. Don’t expect a basic spreadsheet – we’ll deliver a thoughtfully compiled document, complete with options and possibilities.
We continue refining the event plan based on your feedback and input. Once your choices are finalised, we work closely with you to deliver a succesful outcome. Production begins once you're fully satisfied with the concept, design, planning, and budget.
Set-up
If your event takes place in your garden or on your business premises, we will provide a detailed set-up and tear-down schedule well in advance, so you know exactly what to expect. During the set-up, a member of our team is always present to coordinate and supervise. We handle the furniture set-up, decor and overall styling of the venue, ensuring everything is ready in good time for you to enjoy the result stress-free.
Production, execution of the event
At least two event coordinators will be on site to ensure everything goes smoothly. We prepare detailed checklists and scenarios in advance, and all suppliers are thoroughly briefed. On-site staff are given clear, precise instructions with attention to detail. As the event unfolds, we're there to provide support, make adjustments if needed, and uphold quality standards.
For events involving shows or presentations, our in-house directors manage the production. We typically hold a dress rehearsal one or two days before the event.
For multi-day events, we reset and tidy the venue each evening. Adjustments are made as necessary. With extensive experience in multi-day productions, we’re even prepared to work through the night.
Tear-down
We handle dismantling efficiently and promptly, ensuring your garden, business premises, or venue is left clean and tidy as quickly as possible. As always, our aim is to take the entire process off your hands.

Isabel D’Hulster is the founder and driving force behind Présence. She founded her event agency in 2006. Since then, the team has grown significantly. Présence now includes 7 event planners, each bringing unique expertise and added value.
